We are seeking a professional, organised, and welcoming Receptionist/Front Office Administrator to join our busy front office team. Working alongside another colleague at the reception desk, you will play a vital part in ensuring the smooth running of the school’s daily operations. This role combines front-of-house duties, pupil and parent support, and wider administrative responsibilities that directly impact the whole school community.
Hours: 9:00am – 5:30pm (8 hours with 30 min lunch)
Key Responsibilities
Front of House Excellence
- Work as part of the reception team to provide a warm, professional welcome to visitors, contractors, and guests.
- Manage the visitor sign-in process, issue passes, and chaperone visitors (e.g. photographers, contractors) as required.
- Answer incoming calls promptly, respond to queries, and ensure messages are accurately passed on.
- Provide practical support during key school events such as Open Days and Founders’ Day.
Pupil & Parent Support
- Oversee daily student registration to ensure accurate attendance records.
- Distribute parent communications through ISAMs and coordinate the weekly newsletter updates for parents and staff.
- Support the SOCS sports fixture system, providing accurate and timely information for parents.
- Assist with the preparation of school calendars.
Office & Administrative Support
- Handle incoming and outgoing post: sort, distribute, and prepare items for collection at the designated time.
- Manage parcel and supply deliveries, including examination papers, ensuring they are logged and distributed efficiently.
- Provide flexible administrative support across departments to ensure the school office delivers a responsive and effective service.
- Provide administrative support for SLT, including diary and meeting management, minuting meetings etc. as required.
Key skills
- Strong organisational and communication skills, with the ability to juggle multiple tasks in a busy environment.
- A professional, approachable manner with pupils, parents, visitors, and staff.
- A team player who enjoys working collaboratively but can also take initiative and work independently.
- Previous experience in administration or front-of-house roles is desirable but not essential — training will be provided.
